Create and reuse document building blocks across all formats

The Papyrus Business Designer is explicitly designed to meet business administrator requirements without the need for development skills. Documents are assembled from building blocks, both are stored as templates in a central library which is accessed during production from Papyrus Client or Papyrus DocEXEC on the server. An integrated release and change management gives business departments control over when new documents are being released into production.

Consolidation: All document components, resources and document templates are defined irrespective of the communication type (batch, on-demand, online, interactive), and irrespective of the output channel ONLY ONCE, and centrally managed within the central WebRepository to ensure the consistency, corporate identity and efficiency.

Changes are performed only in ONE place – at one time - reducing the number of document templates and maintenance effort substantially. Papyrus Business Designer empowers business administrative users to create, modify and manage communication through every stage for consistency and quality. They work and collaborate in a WYSIWYG drag & drop fashion using intuitive GUIs, modular document elements guided by integrated Release & Change Management all the way to production, and can create and manage document building blocks, document templates and layouts, define business rules, upload content, simulate document templates, dynamic white space management and marketing campaigns - without IT dependency.

Same content, different layout requirements

Single source document template management

Although the documents share the same content, they have different layout requirements and need flexible and dynamically selected building blocks depending on the different channels. For example, the print version of a certain document demands for a properly paginated layout whereas the HTML version used for an email has no pagination but should use a building block containing links to the web variant and/or the PDF version of that document.

With Papyrus you manage all of these in a single-source document library without having to struggle with multi-development approaches. The Papyrus Business Correspondence Solution allows template administrators to define document content from building blocks and use it for all output channels. Reuse of existing building blocks guarantees the same content for the different document variants like paginated versions for print and PDF or responsive HTML designs for presentation of documents on the Web.

The reusability of resources (text, data, logic, images, fonts) between document types is very important to significantly lower the number of templates in use and enable efficient and consistent maintenance. This further enforces CD/CI.


Central Resource Collection with digital asset management

The resource collection is an important function in the WebRepository. All resources for all business documents are kept and administered in one place and are accessed by users by their role authorizations. Business domain relevant names in natural language can be used for any resource like fonts, pictures and videos to enhance productivity. The resources are version controlled and deployed at predefined release dates covering the whole document life cycle from development to production into archive.

Interactive documents

As a unique feature of Papyrus, each of these documents and building blocks can contain parts that can be filled in or edited by the clerk. With Papyrus Interactivity, this is built into the document architecture so that each batch document can also be interactive if required without having to recreate it.

The Business Designer can be used to create interactive letters, forms (PDF/HTML) and wizards to help end users/agents create documents. The Papyrus Wizard guides the user through easily entering information, answering questions and selecting options. The Wizard records all decisions made by the business user and dynamically connects to various back-end systems and external services to validate and deliver data in real time. The system compiles the documents step by step, taking into account all relevant regulations and avoiding possible errors or omissions. The complexity of the task is completely transparent to the end user.

Creating Wizards

As a business user the correspondence administrator prepares document wizards for the clerks without programming knowledge by simply defining a sequence of forms which will add building blocks based on natural language conditions. The Papyrus natural language rule editor is designed for business users to model the conditions in a very intuitive way.

Document execution and sign-off

Approval workflows are directly linked into the letter writing process with letters dynamically routed into inboxes of supervisors who can WYSIWYG preview the letter, visually compare letter versions with automated document compare and promote or demote a letter with the accompanying comment for an agent to fulfill the work.

Change and Release Management: Integrated versioning, change and release management allows business teams to sign off and deploy document changes at any point in time into production without having to wait for a next general release. The system provides ready-to-use and freely customizable/definable state- & event-driven Release & Change Management and Approval/Sign-off workflows. Once the release passes the release management cycle, the elements are available in production and can be used in different communication scenarios – in dark processing, for on-demand document generation, as well as for interactive letter writing by various business departments in their daily work.

Papyrus Designer for technical user

Papyrus Designer for IT is a powerful drag & drop 100% WYSIWYG document application design tool. It integrates data, logic, layout and resources without the need for external coding. With each mouse click, the layout with data, logic and fonts is displayed 1:1 in the viewport, taking into account every change, including all dynamic page breaks. It includes a performance profiler, trace lister and debugger.

Document developers can use Papyrus Designer to compliment Papyrus Business Designer to define custom building blocks which encapsulate complex business logic, data processing algorithms or visual components like nested tables in reusable building blocks, which are added to the central library used by business administrators to assemble complex documents from predefined components.


Integrate & Detach from the Core

Any type and structure of business data file (not only XML) can be simply used 'as is' without data manipulation or tagging. Variables can be coming from many sources supported by a wide range of Papyrus Adapters that provide the data from the file system or via messaging in real time, as required.

Reporting Dashboard

All actions in the system and the entire process history are logged and the metrics of any user, customer, system or data input or output activities can be created as needed. Reports are freely definable and provided as AFP, PDF or responsive HTML documents and/or as real-time reporting dashboards.
