THE CHALLENGE

LBBW's outdated MS Word contract system, unmaintainable and inflexible, severely hampered their ability to adapt to business needs and deliver timely services. Feature updates and obsolescence removal were near impossible. Excessive IT involvement for minor changes further slowed operations, limiting responsiveness and impacting customer service.

Further exacerbating these issues, LBBW recognized the urgent need to empower their business users and enhance operational agility. The legacy system, however, required significant IT involvement for even minor modifications, slowing down processes and hindering responsiveness. This lack of flexibility limited LBBW's ability to quickly adapt to changing market conditions and customer demands, ultimately impacting their ability to deliver exceptional service.

Papyrus has transformed our credit process. The Business Designer and have made it easier to manage templates and workflows. LBBW is expecting significant efficiency gains and improved control over 10,000 annual loan applications.

RESOLUTION

The Solution

To address LBBW's challenges and achieve their goals of modernizing their credit process, we implemented the Papyrus Correspondence Solution, leveraging its powerful no-code capabilities. This strategic move focused on three key areas:

Revolutionizing Template Administration

We empowered LBBW's business users to take control of their document templates. Using Papyrus Business Designer, they could easily create and manage templates, including wizards and user input forms, without relying on IT support. This significantly boosted efficiency and agility in template administration.

Empowering Clerks with a Modern WebClient

We provided LBBW's clerks with a powerful, user-friendly WYSIWYG WebClient. This intuitive interface streamlined their daily tasks, enabling them to efficiently create and manage credit applications and contracts.

Seamless Integration via REST API

We ensured seamless integration with LBBW's upstream applications through a robust REST API. This allowed for the automated pre-filling of contracts with data from backend systems, eliminating manual data entry and reducing the potential for errors.

The Implementation

Our structured implementation process involved a comprehensive analysis of LBBW's needs, followed by solution design and development. We ensured a lean implementation through task prioritization, custom extension development, and platform integration. Rigorous quality checks, including manual reviews and stakeholder feedback, culminated in a successful deployment.

  1. Joint Scoping Workshop: Laying the Foundation We began with a comprehensive joint scoping workshop, bringing together LBBW's business users and our Papyrus consultants. This collaborative session allowed us to thoroughly define the project requirements, identify key functionalities, and establish a clear roadmap for implementation.
  2. Proof-of-Concept (PoC): Addressing Key Questions and Validating Solutions
    • We began with a comprehensive joint scoping workshop, bringing together LBBW's business users and our Papyrus consultants. This collaborative session allowed us to thoroughly define the project requirements, identify key functionalities, and establish a clear roadmap for implementation.
      • API Development: We focused on establishing a baseline REST API for seamless integration with LBBW's upstream applications, ensuring a robust and reliable data exchange.
      • Template Administration: We created a sample document template using the Papyrus Business Designer, demonstrating the capabilities and empowering business users.
    • The successful results of this PoC served as a solid foundation for the subsequent project implementation.
  3. Project Implementation: Leveraging Papyrus Standard Solutions We implemented the solution on premise using Papyrus's standard correspondence solutions, which significantly reduced time-to-market and ensured long-term stability and maintainability. This approach allowed us to leverage proven technologies and best practices, minimizing customization and maximizing efficiency.
  4. Early User Involvement: Testing and Validation We actively involved LBBW's business users throughout the implementation process. Early user involvement was crucial for testing the created templates and validating the integration with upstream applications. This iterative approach allowed us to gather valuable feedback and make necessary adjustments, ensuring the solution met their specific needs.
  5. Close Collaboration: Ensuring Project Success Throughout the project, we maintained close cooperation between LBBW's teams, Papyrus consultants, and our backoffice support. This collaborative approach fostered open communication, facilitated timely issue resolution, and ensured a seamless implementation.

Overcoming Roadblocks: Navigating Change and Delivering Success

As with any significant modernization project, we encountered and successfully overcame several key roadblocks during the implementation of the Papyrus Correspondence Solution at LBBW:

Gaining Business User Buy-In: Embracing a New Approach

  • Modernizing a solution inevitably requires adjustments to established workflows. Initially, some business users were accustomed to the traditional document preview and variable input methods. We recognized the importance of gaining their buy-in and addressing any concerns.
  • To overcome this, we prioritized clear communication and comprehensive training. We demonstrated the advantages of the consolidated view on document preview and variable input, highlighting the increased efficiency and control it provided. Through hands-on workshops and personalized support, we successfully guided users through the transition, ensuring a smooth adoption of the new approach.

Delivering New Feature Requirements On Time: Leveraging Early Definition

  • During the scoping and Proof-of-Concept (PoC) phases, we proactively defined new feature requirements in close collaboration with LBBW. This early definition proved crucial in ensuring timely delivery within the standard solution.
  • By identifying and addressing these requirements early on, we minimized the need for extensive customizations and ensured that the solution met LBBW's evolving needs. This proactive approach allowed us to deliver the new features on time and within budget, demonstrating the flexibility and adaptability of the Papyrus platform.
